PRODUCING

Taking on Producer's role

Hints for Producers:
  • ‘Use your initiative! There are no set rules for producing an LUTG show, use your initiative and find new ways of publicising, it doesn’t have to have been done before.’
  • ‘Make sure you keep up with the money and budget, and keep things on track.’
  • ‘Obtain the rights early, that way you can pay them with enough time to spare.’
  • ‘You are in charge of welfare in the cast and must appoint a cast rep, who feels comfortable to relay cast concerns to you.’
  • ‘Welfare issues that are concerning are passed to the LUTG Chairperson.’
  • ‘You create the posters, programmes and promotional videos. Be aware that you can put posters up along the spine, but not on the pillars with LUSU signs on them. LUSU do a ‘purge’ of posters every now and then, it’s worth checking in the office when this is planned to save having all your hard work ripped down!’
  • 'The programmes should have a brief play synopsis, headshots/photos of cast and crew, plus bios written by them.'
  • ‘Posters and trailers must be sent to the Publicity Officer before publication just to make sure everything is on there and they can check it over. There is an LUTG banner and an end credits required on each.’
  • ‘You also monitor all media i.e. Facebook and Twitter pages.’
  • ‘Think about what you lack, skills wise (for example – you may not be great at photoshop) and pick an assistant/shadow that can help you with this. Make your assistant the ying to your yang!’
  • ‘In the lead up to the show, consider emailing schools and particularly University departments that may correspond to the production.’
  • 'Remember that the Publicity Officer is there to help should you need any advice.'

IF YOU NEED TO CREATE YOUR OWN TICKETING SYSTEM:

Picture

If your venue does not offer any ticketing services, no need to worry! All you would need to do is to set up a Gmail account with the name of your play:

lutgNAMEOFSHOW@gmail.com

Once you have created your email, you can advertise it on your poster (see image)  and people will use the email to reserve the tickets (ATTENTION:
the audience will only be able to reserve the ticket and wont be able to pay for it until they arrive at the performance. Make sure to inform your audience that they will need to bring change as we do not accept card payment!)

WHATS NEXT?

After you have advertised the email on the poster, audience members will start reserving their tickets through the email. A useful way of keeping track of the reserved tickets will be through a spreadsheet that can be downloaded from below, and watch Jacqui Clark's fantastic excel workshops, available on demand.

POINTERS TO BE AWARE OF:

- On the night, the audience members may start arriving 30 minutes before the performance starts so make sure you're ready with the tickets and programmes
- People may bring pound notes (£20 or £10)  to pay with so make sure you have a £20 float of coins to give them the appropriate change
- Don't forget to sell your programmes! Print off an appropriate amount for your venue (est. 70 programmes for 3 shows)
- Be professional and friendly but have fun!
